Lockheed Martin Administrative Assistant in Bethesda, Maryland

Provides direct administrative assistance to the Director of Corporate Global Security & Crisis Management (GS&CM) Operations, as well as some indirect assistance and transactional support to his domestic and international staff of intelligence analysts.

Makes domestic and international travel arrangements, completes timely and accurate expense reports, uses designated travel and expense reporting systems (BCD & Concur) and reconciles all corporate credit card (US Bank) statements. When necessary, also processes passport and visa applications associated with international travel.

Uses designated reporting systems, forms and processes (e.g., STARS & AERs) to carry out all departmental attendance actions in a timely manner. Also processes and reconciles all P-Card and Meeting-Card purchases and expenses using designated LM P2P system(s).

Maintains and distributes department’s weekly activity reports, travel calendar and vacation / loss time schedules. Also, assists the administration and maintenance of all departmental databases and SharePoint sites.

As required, supports other departmental administrative tasks, including but not limited to, organizing and coordinating departmental meetings and events, taking minutes at meetings, ordering equipment / supplies, and supporting incoming / outgoing visits. Additionally supports the CHQ Floor Warden Program, GEOC tours / open houses, GEOC Watch Officer training sessions and distribution of GS&CM products.

Basic Qualifications Minimum of 3 years prior experience supporting executive level management customers and/or contractor personnel

Motivated self-starter with effective verbal, written and interpersonal communication skills

Advanced proficiency with MS Office Professional Suite

Prior experience scheduling meetings and travel (both international and domestic)

Ability to obtain a US security clearance

Desired skills College degree, advanced training or certifications in relevant fields.

Familiar with LM administrative systems and tasks, especially those associated with Attendance Recording, Travel Management, Expense Reporting, Procurement and Meeting Card reconciliation.

Proven ability to plan, organize and effectively prioritize assignments with limited direct supervision or intervention.

Proven experience managing multiple tasks with competing interests and timelines.

Ability to exercise the appropriate initiative and necessary discretion to an assortment of tasks / information associated with the Global Security & Crisis Management Operations.

Effective time management skills and attention to detail across all assigned tasks.
