Administrative Assistant – Talent Acquisition Directors
This position utilizes a self-directed work style to complete tasks with minimal supervision, as well as the ability to creatively solve problems, think independently, and present a professional image. Absolute discretion with sensitive materials is also a primary responsibility. The ideal candidate will be required to have strong background providing efficient administrative assistant support to the Director level. This position requires effective customer service skills and the ability to react and shift priorities quickly. They will perform a variety of administrative duties to support of two Talent Acquisition leaders (Executive TA & University Relations and their teams as needed in remote time zones. This role will have a portion of their role dedicate to Executive Recruiting Coordinating. The successful candidate must be detailed-oriented and able to handle multiple tasks simultaneously. Duties involve high-level internal and external contacts and exposure to sensitive information, therefore, the successful candidate must demonstrate tact, diplomacy, discretion, and good judgment. This is a fast-paced, challenging position, where high performance and quick action is expected. The ability and willingness to support and meet tight deadlines, while staying focused on policies and procedures are critical. Specific Responsibilities Include: ∙ Communicates with executive, administrative, and management personnel to gather or convey relevant information in a timely manner ∙ Performs administrative duties, including answering phones, filing, scheduling meetings, meeting preparation and planning, maintaining schedules in Microsoft Outlook, and organizing domestic and international travel, expense reporting, expense and charge account reconciliation, audits, and general office management ∙ Coordinates event and meeting planning, arrangement, and support ∙ This position will utilize a range of systems and tools to provide administrative support for various processes that includes locating, integrating and consolidating sensitive information from multiple sources; ensuring accuracy of data; and filing electronic documents efficiently. This also includes preparing chart decks, reporting, and analyzing data to identify trends for focused attention. The position will also draft correspondence and reports, ensuring that all are accurate, complete, and properly handled ∙ Participates in and leads miscellaneous projects or initiatives as needed, including support for the broader GTA organization - Role will spend a portion of time as Executive Recruiting Coordinator which includes high level interface with Executives and EA's throughout all BA's. ∙ This position will interface with and serve as back-up to the Director Workforce Strategy & Solutions and WSI’s executive administrative assistant as well as other corporate executive administrative assistants on a frequent basis. ∙ The position may require overtime, offline handling of messages using mobile technology, and flexible work hours
Basic Qualifications 2-5 years of experience supporting Senior level management Experience supporting multiple leaders Advanced level proficiency with Microsoft Office suite of applications (Excel, Word and PowerPoint) and SharePoint Experience with tools such as Expense Account Systems, Time Recording, Travel booking systems and purchasing systems Demonstrated aptitude for learning and utilizing computer-based systems
Desired skills Detailed oriented Team player who is proactive and collaborative College degree (Bachelor’s or Associate) Familiarity with LM policies and procedures Outstanding and Effective communications and interpersonal skills Familiarity with Lockheed Martin corporate-wide systems such as STARS, LM Travel, LM Expenses (Concur); P2P Demonstrated positive professional demeanor and behavior; excellent phone etiquette; experience with multi-line phone systems Effective time management; demonstrated punctuality, and reliability Proven effective verbal, written, analytical, and organization skills Proven ability to maintain confidentiality of sensitive data Demonstrated ability to act with diplomacy and discretion with customers, colleagues, and superiors Experience multi-tasking and effectively balancing priorities Strong interest in Talent Acquisition Experience supporting remote leaders Experience as a Coordinator for Human Resources Global Experience (support of global leaders); worked within global organization and had interaction with global teams.
