Lockheed Martin Administrative Assistant Spec in Sunnyvale, California
This position is responsible for providing administrative assistant support to the Lockheed Martin International Vice President of International Government Affairs, Operations & Regional Executive for Latin America, and members of his/her immediate team. The ideal candidate will have recent and extensive experience providing efficient administrative assistant support to senior executives in a fast-paced and highly visible organization. This position requires a positive, self-directed work style to complete tasks with minimal supervision, effective customer service skills, the ability to leverage technology and LM processes and tools to solve problems, the initiative to think and act independently and anticipate requirements, and the judgment and dexterity to react and shift priorities quickly while remaining calm and efficient with a professional image. The main responsibilities of this position include: - Maintaining calendars; ensuring they remain updated and accurate; - Providing prompt follow-up to meeting requests and correspondence; - Responding quickly and effectively to last minute changes to meetings and logistics; - Scheduling and coordinating meetings with internal and external stakeholders. Working and re-working complicated calendar scheduling as needed; - Setting up and supporting in-person meetings and video conferences in Crystal City (and other locations, as needed) - Providing phone and email support; - Editing documents and presentations; - Arranging air travel, hotels, and other transportation needs for domestic and international travel; - Preparing expense reports promptly, and processing other payments; - Engaging and working with the Lockheed Martin International administrative assistant team to schedule, plan and organize meetings and events.
Basic Qualifications - Recent and demonstrated extensive experience providing administrative assistant support to senior executive level clients - Attention to detail - Effective communication skills, both verbal and written - Demonstrated proficiency in booking and expensing domestic and international travel - Advanced level proficiency with the Microsoft Office suite of applications - Punctuality - Demonstrated ability to act with diplomacy and discretion with customers, colleagues, leaders, and vendors - Demonstrated ability to be productive in fast paced environment - Demonstrated ability to work comfortably and confidently with high level customers - Effective organizational and prioritization skills - Strong multi-tasking skills - Demonstrated ability to respond to change quickly and professionally - Collegial, and team-oriented attitude - Commitment to the highest ethical standards - Demonstrated ability to handle confidential information
